With so many photographers trying to sell you their services, why, you may ask, is it preferable to work through an established photographers' agent. In brief, it's all about the desire to build relationships. Whereas a lone photographer may be content to deliver a mediocre job and move on, because we are representing a whole team of photographers, we cannot afford to let a single job spoil our reputation... failure to satisfy is NOT an option. There is enormous pressure on us to gain the trust of our clients so we place the highest possible value on reliably completing a shoot on brief and on budget.
And this costs me more?...
Emphatically no! With our desire to build relationships with clients, we do our utmost to persuade photographers to be flexible and accommodating.
But will you get in the way?...
We are here to help and advise in the creative process. We see hundreds of portfolios every year... you see the distillation of this. In one place you can find a variety of creative disciplines and styles, and you can ask pertinent (or impertinent if you wish) questions about the photographers, without fear of causing offence, because, sometimes it's hard to haggle with a photographer direct, or criticise their work! Of course, when it comes to discussing things creative, we actively encourage photographers and art directors to talk direct, but, we like to lift the burden of talking money away from the creative process, so that it can remain... creative!
Whether you are briefing a photographer or a budgeting for a specialist stylist the following points should be considered...
Do you need a stylist for wardrobe or for props? Some stylists are good all-rounders but maybe you need a specialist. Good fashion stylists have great contacts at the fashion houses' P.R. companies and often access the latest collections (though cooperation is always less unless a credit can be published.
What is the budget? The more you have the greater choice that can be provided. Even the need for a simple plate should ideally be covered by plenty of choice. With clothes, the variables are almost infinite so again choice is the key.
Are there copyright issues with the props / wardrobe chosen. Certain designers are VERY defensive of their design copyright and if the inclusion of a prop is anything other than minor and incidental there is probably an issue.
With wardrobe styling especially, has an appropriate lead-time been allowed? It is likely that the wardrobe stylist can only actually obtain clothes after a model has been confirmed as until then clothes sizes may be subject to change.
Are the photos running in summer or winter? Does this change the wardrobe requirement?
Do you need to allow for a model fitting session with the wardrobe?
A lot of wardrobe can be hired and returned after the shoot which will help the budget. Stylists usually charge a returns day or half day though. Shoes cannot normally be returned if they've been worn.
Most props are hired on a one-week basis. Need them longer... and pay for an extra week.
Do props need to be seen / agreed in advance? If so, is the stylist being briefed to actually hire props for a pre-production meeting in which case will the one week hire period cover from ppm until the day after the shoot? If the stylist is asked to take pictures of all the prop choices she may charge more as she will have to go out once to take pictures and again to actually get the props.
And lastly... does the studio or shoot location have the appropriate access needed for the props? It wouldn’t be the first time a sofa has arrived at the studio and been to big to fit through the doorway or up the stairs!

Whether you are briefing a photographer or a specialist location finder the following points should be considered...
Which Country?
Budget - always a good way of narrowing down where you can go!
What sort of light / weather are you going to need? You may get good weather in Europe during the summer. Southern Spain might be OK earlier / later in the year, but it's a risk. South Africa, New Zealand and South America are popular choices for decent weather during the European winter.
Does the location country have a production infrastructure, i.e. are there reliable labs for processing film, can you hire photographic equipment easily, are there local producers or set builders if required?
Are there particular shooting permission processes that have lead times? Many Spanish street locations have a two-week lead-time for instance.
Are entry visas required and if so what are the lead-times to obtain one?
Does the equipment entering the country need its own "passport" or carnet? Most non-EEC countries do require one at a cost that will start at £500+
Does the chosen country need to look like somewhere else, and is it realistic to expect this to work? Parts of South Africa are very similar to rural France or even the English countryside, but it might get trickier if you need specific architecture too.
Other Details...
If buildings or sculptures feature in the shot, permissions may be needed from owners of copyright invested in these works... but the rules vary country to country.
What sort of light do you / the photography require. The location finder should give you compass references so that you can tell where sunrise / sunset will be.
It is often worth checking that the location finder will shoot the location reference pictures on a standard i.e. not wide or long, lens. Flattering locations by shooting them wide angle will only cause problems later.
Do you need to create a particular shoot vantage point? On an interior location you might want a scaffold tower, an exterior might need a cherry picker.
Don't rely on location library pictures... you don't know if a large wall has been built or a tree cut down since the picture was taken
Has police permission been secured if shooting on the street? Is traffic management required and does the shoot crew have parking dispensations?
What days are required for shoot? Some locations will only work at weekends when outside office hours.
Do you have crew / models travelling long distance to the location? If so is it easily reached - if access is really bad or the distance substantial you may need overnight stays etc.
If you are shooting without access to facilities, you probably need a location vehicle. A location vehicle can come with a generator for power, but beware, not all lighting systems will work off a generator. Allow £375 per day and £1 per mile as a starter for a vehicle.
For interior locations can you use their power? Will it be sufficient for lighting required?
The more time you give the location finder the more ground they will cover and the more choice they will provide.
Does the location have particular liability insurance requirements? Our photographers usually carry £1 million minimum, but many locations require £5 million +.
Briefing checklist for casting sessions
Whether you are briefing a photographer or a specialist casting agency the following points, some more obvious than others, might want to be considered by creative and account management...
Apparent age of model.
Height (and height relative to other models)
Hair colour / length (has it changed since their card was printed)
Does the client want an ethnic look, or an ethnic mix if multiple models are being found?
Does the model need good hands
What dates are required?
Does the model need to be able to complete their own grooming?
Special skills needed? Many a shoot has been scuppered when it was discovered that the model couldn't, for instance, drive a car!
Is it important for the model to act, or is "wooden" OK?
Does it matter if the model has worked on competing products / brands
Are there legal age restrictions on model because of the product (e.g. tobacco / alcohol)
What medium should the casting be completed on? Video obviously best where a "performance" required. If stills, digital or prints preferred?
How big a casting? What ratio of models should be seen to the number actually required?
Casting children normally incurs a casting appearance fee approx £20 ea. model.
Working with child models theoretically needs a license, by EEC law. This can require a lead-time of several days though some model agencies may have a blanket license and some may have a more casual attitude to the issue!
What EXACTLY is the usage required for the photographs. If other usages are likely to be required in the future what will they be... it is far better to agree a fee option before the model has been confirmed for the shoot.
What budget is available for the models and for how long are they required on shoot? It is preferable to tell the model agencies upfront before casting what the deal would be, in order to avoid embarrassment later!
Does the fee include the model agency 20% levy?
Are there travel fees and expenses to be incurred?
Has the commencement date of any usage been agreed?
